Photos Too Big to Send? Email and Messaging Size Limits Solved

"Attachment exceeds the maximum size" is a solved problem. Here are the actual limits, the two settings that fix it, and the cases where you should not shrink at all.

You attach five holiday photos, hit send, and the email bounces back — or Gmail quietly announces it will turn them into a Drive link instead. Nothing is broken. Modern phone cameras simply produce files far bigger than email was designed to carry, and every service enforces a cap. Once you know the real numbers, getting under them takes about thirty seconds.

Why a single phone photo weighs 3–8 MB

A current phone shoots at 12 to 50 megapixels. A 12 MP photo is roughly 4000×3000 pixels; saved as JPG at the camera's default quality, that lands between 3 and 5 MB. High-resolution modes, night shots (which carry more noise, and noise compresses badly) and detailed scenes push individual files to 8 MB and beyond. None of that resolution is wasted on the phone — but it is wildly more than anyone needs to view the picture on a screen.

Do the arithmetic against a 10 MB corporate mailbox limit and the problem is obvious: one photo fits, the second bounces.

One trap worth knowing about email specifically: attachments are encoded for transport in a way that inflates them by roughly a third. A "25 MB" Gmail cap really buys you about 18 MB of actual files. At 4 MB per photo, that is four photos per email — and on a 10 MB corporate server, one or two. The bounce you get from attaching "only" 22 MB is this overhead at work.

The two levers that fix it

File size in a photo comes from two things: how many pixels it has, and how hard the JPG compression squeezes them. Adjust both and the numbers collapse.

Lever 1: Resize to 1024–1600 px on the long edge

This is where most of the savings live, because file size scales with pixel area. Going from 4000 px to 1600 px on the long edge discards about 84% of the pixels — and nobody looking at the photo on a phone, laptop or TV will notice, because those screens cannot display 4000 px of photo anyway. As a target:

  • 1024 px — plenty for viewing on any screen, smallest files.
  • 1600 px — the safe all-rounder: crisp on large monitors and still enough resolution for a good-quality print up to roughly 10×15 cm (4×6 in).

Lever 2: JPG quality 80–85

Camera defaults save JPGs at very high quality settings that spend megabytes preserving detail no human can see. Re-exporting at quality 80–85 keeps the photo visually identical at normal viewing size and typically halves the file again. What the numbers look like in practice

A typical 4000×3000 photo at 6 MB, resized to 1600 px long edge at quality 85, comes out around 500 KB — a 12× reduction. The same operation on a whole batch means the email that could carry four photos now carries thirty-five. When you should NOT shrink

Resizing throws pixels away permanently, and some recipients need every one of them:

  • Print orders. A lab printing at 30×40 cm wants the full-resolution original. A 1600 px file printed that large looks soft.
  • Archival. Photos going to the family archive or a backup should stay untouched — you can always make a small copy later, never a big one.
  • Editing handoff. A designer or retoucher needs maximum data to work with, ideally before any recompression.

For these cases, do not fight the attachment cap at all: upload the originals to a cloud drive (Google Drive, OneDrive, Dropbox) and email the link. The recipient downloads full quality, and your message weighs a few kilobytes.

Sending a big batch

  • Zip for tidiness, not size. JPGs are already compressed, so zipping 20 of them saves only a few percent — but it turns 20 attachments into one file that survives forwarding intact.
  • Split across emails. Old-fashioned but bulletproof: after resizing, 30 or more photos fit per Gmail message. Number the subject lines ("Beach photos 1/3") so nothing gets lost.
  • Past ~40 photos, use a link. A shared album or drive folder beats any amount of attachment juggling, and lets you add photos later.

A privacy detail most people miss

When WhatsApp or Telegram compresses a picture in photo mode, it also strips the metadata — including the GPS coordinates your phone embeds in every shot. Send the same picture as a document and the file arrives byte-identical, location data included. So the modes are a trade-off: photo mode costs quality but protects your location; document mode preserves quality but tells the recipient exactly where the photo was taken. Choose deliberately, especially with photos of your home. The bottom line

Attachment limits are not going away, but they stop mattering once you internalize one habit: photos meant for viewing travel at 1600 px and quality 85; photos meant for printing, archiving or editing travel as a cloud link.
